Reply Y to confirm, the day before

Each patient is texted ahead of their appointment — the day before, unless you choose otherwise — and asked to reply Y to confirm or N if they can't make it. An N frees the time at once. A reply of CANCEL is a carrier opt-out, so that booking is flagged for your front desk to call, never cancelled.

A freed time offered to someone who wanted it

When nothing suits a caller, it offers to put them on a waitlist. When a time comes free it is texted to one person at a time and held for the hours you choose (four by default), and their Y books it.

Intake forms aren't offered to health practices: a form is where medical history gets typed, and PhonePick isn't built to hold it.

Being straight with you

What it will not do on a patient call

It books appointments, gives your hours, your location and what you've told it about billing, and takes a name and a number for a callback. It does not discuss an injury, symptoms or treatment, and it will not say whether something needs to be seen urgently — a person calls them back for that. Every caller is told it's an AI and that the call is recorded, and is offered a person instead. PhonePick is PHIPA compliant for Ontario practices: it acts as your agent under PHIPA, keeps no call audio, puts no patient details in emails or texts, and requires two-step sign-in. It is not HIPAA compliant and we do not sign a Business Associate Agreement.

Can it book a new patient's assessment?

Yes, into your calendar at the length you set. Most of the value is after hours and at lunch, when a new patient is free to ring around.

Will it talk about an injury?

No. It takes their name, their number and what they say they need in their own words, and books them in or arranges a callback. Anything clinical waits for a physio.

Is it PHIPA compliant? Is it HIPAA compliant?

Yes, for Ontario practices. We act as your agent under PHIPA and sign an agent agreement with you; no call audio is kept, no patient details go out in emails or texts, and your account needs two-step sign-in. It is not HIPAA compliant: we do not sign a Business Associate Agreement, so US practices should not use it for patient health information.
