The voicemail greeting that actually gets messages left

This one costs nothing and takes four minutes, and we would rather you did it than bought anything from us. Most business voicemail greetings are actively discouraging people from leaving a message, and the fix is not complicated.

The default greeting on most business lines is some version of "you've reached [name], leave a message after the tone". It gives the caller no reason to bother and no idea what happens next, and so they do not bother.

One: say when you will call back

"I'll call you back within the hour" changes the calculation entirely. The caller is deciding whether to spend thirty seconds leaving a message or thirty seconds ringing the next number. Give them a reason to spend it on you — and then actually do it, because a broken promise here is worse than no promise.

Two: tell them what to say

"Leave your name, your number, the address, and what the problem is" gets you a message you can act on. Without it you get "hi, it's Dave, call me back", which means a second call before you learn anything, and half the time you never reach Dave again.

Three: give them another way through

"You can also text this number" is the single highest-return sentence you can add. A lot of people will text who will not leave a voicemail, particularly anyone under about forty. If your number can receive texts, say so.

Four: keep it under fifteen seconds

Every extra second is a chance to hang up. Cut the office hours, cut the address, cut the apology. Name, callback promise, what to include, text option. Done.

A greeting that does all four

You've reached Dan at Anderson Plumbing. I'm on a job — leave your name, number, address and what it's doing, and I'll call you back within the hour. You can text this number too.

Fourteen seconds. It promises something specific, tells the caller exactly what to say, and offers a second route for the people who will never leave a voicemail.

What this does not fix

It does not fix the callers who hang up without listening, which is most of them. It does not fix the 9pm caller who needs an answer tonight. And it does not fix the fact that you are still calling everyone back in the evening instead of having dinner.
