Why dance studios and gyms miss more calls than they think

10 September 2026 · 5 min read

A studio owner will tell you their phone is quiet. What they mean is that the phone is quiet at the times they are near it, which is not the same thing at all.

Class-based businesses — dance, martial arts, music, swim, gyms — have a scheduling problem that trades do not. The hours you are busiest teaching are the hours parents are free to ring, and the hours you are free to answer are the hours nobody is calling.

The shape of it

A parent decides on Tuesday evening that their eight-year-old should try something. They search, they find three studios, and they ring. It is 6:40pm. You are on the floor with fourteen children and there is nobody at the desk, because at 6:40pm everyone who works there is teaching.

The call goes to voicemail. They do not leave one — almost nobody does — and they ring the next studio.

Why it is invisible

The reason studio owners underestimate this is that a missed call leaves no trace. There is no enquiry in the inbox, no name on a list, nothing to count. The registrations you did get feel like the whole picture because they are the only part of it you can see.

The only way to find out is to look at the call log on your own line. Most owners who do it for the first time are unpleasantly surprised by the 5pm-to-8pm column.

What to do about it, in order of cost

The first two are the ones with the best return and neither involves us. If registration and tuition collection are the actual bottleneck, Prodigy Suite is built for exactly this kind of business — registration, rosters, attendance and automatic tuition for studios, academies and gyms. A parent who can enrol at nine in the evening does not become a missed call at all.

What is left after that

Even with a good website and online registration, some people ring. They have a question the page did not answer, or their child has a specific need, or they are simply the sort of person who rings. Those calls are disproportionately the serious enquiries, and they arrive in the exact window when you cannot pick up.

That is the remainder worth solving with something that answers, and it is smaller than most people expect — which is good news, because it makes it cheap.

PhonePick answers your business phone when you can't — takes a message, books the job, and texts the caller back. From $29 a month, no contract. Get your number or hear it answer a real call.
